Onboarding Steps

Please do not save documents. Always use this site to make sure you have the most up-to-date information.

Beginning Fall 2023, SCH has partnered with Clinical Placements Northwest (CPNW).

Those that are not part of CPNW will only follow the SCH Steps on the Flow Chart.

If you have been accepted into the program, follow the steps below.

  • For schools

    It is the faculty/school’s responsibility to assist with students’ onboarding process and ensure all requirements have been met. Please refer to the Undergraduate Nursing Students policy #11101.

    Step 1

    The school will email the Seattle Children’s Nursing Schools the completed student upload sheet no less than 30 days prior to the first day students will be on campus. The Department of Nursing Practice, Professional Development and Innovation (NPPDI) will process the spreadsheet by sending it to Human Resources (Non-Employee Admin).

    Step 2

    *Skip if your school is not part of CPNW*

    The school will use their CPNW profile and request the appropriate school and program code. The school coordinator will send the access code and registration instructions to students/faculty.

    Step 3

    The school will send Students/Faculty the Respiratory Clearance Form for completion. The school will have access to the survey responses to approve or deny the student’s access to rooms that require the use of a CAPR. Schools will inform if the student/faculty is approved/not approved.

    Schools should email [email protected] if they do not have access to the SON Respiratory Teams page. The approver should not be a faculty member facilitating in the quarter/semester.

    Step 4

    School will review CPNW onboarding for students/faculty. Once completed, the SCH coordinator will review for final approval of the student/faculty profiles.

    Step 5

    Schedule group appointments with Seattle Children’s Employee Service Center – call 206-987-1020.

    • Students must complete their RedCarpet onboarding to obtain their SCH badge.
    • Relay group appointments to students.
    • Please communicate to students that they are to arrive with their group and not individually. Talent Acquisition Service Center (TASC) uses this process to minimize interruptions during employee onboarding.
    Step 6

    After the student’s assignment has been approved, account provisioning will set up the student’s network access. Two separate emails will be sent: 1 for their User ID and 1 for their temporary password. Students will be able to access our computer systems, including Grow@SC (Learning Management System), only after they have been given UserIDs.

    As of Fall 2022, we will no longer be updating the SON Username Upload on the Schools of Nursing External SharePoint page.

  • For students
    Step 1

    Students will receive the RedCarpet welcome email and complete the required tasks. Students are required to use their school email address for OKTA Verify (remote access). Faculty are to inform students to keep their school email address in RedCarpet.

    If the student was at Seattle Children's Hospital in any capacity in the previous 12 months or is a current Seattle Children's employee, they will not go through RedCarpet.

    Step 2

    *Skip if your school is not part of CPNW*

    Students will receive the CPNW code and instructions from their school coordinator to create a CPNW account. They will then complete the eLearnings and the SCH site-specific requirements, and submit for approval.

    Step 3

    Students will complete a Respiratory Clearance Form that will be sent through the school. The school will have access to the survey responses to approve or deny the student’s access to rooms that require the use of a CAPR. Students will be informed by their school if they are approved/not approved.

    Step 4

    The school will inform students the scheduled group appointments to obtain their SCH badge. You must arrive with your group and not individually. Talent Acquisition Service Center (TASC) uses this process to minimize interruptions during employee onboarding.

    Step 5

    After the student’s assignment has been approved, account provisioning will set up the student’s network access.     Students will complete the requirements according to their role found in this document:

    Upon completion of the EPIC eLearning, the student’s account for EPIC access will be unblocked so they will have access to EPIC when you arrived. If there are difficulties in accessing EPIC after the trainings are completed, please call our IS Department at 206-987-1111 (between 0800-1700 Monday through Friday only). IS Department will ask for the student’s Employee #, User ID and Sponsor (Ashley Turner)

    • Students may be assigned additional EPIC trainings depending on the unit the school is assigned.
  • For faculty

    New faculty are to be identified and communicated to NPPDI no less than one month prior to the first day on campus. The school will identify and communicate to NPPDI which faculty are teaching on which unit no less than two weeks prior to the beginning of the term.

    Step 1

    Faculty will receive the RedCarpet welcome email and complete the required tasks. Faculty are required to use their school email address for OKTA Verify (remote access).

    Faculty will receive the CPNW code and instructions from their school coordinator to create a CPNW account. They will then complete the eLearnings and the SCH site-specific requirements, and submit for approval.

    Step 3

    Faculty will complete a Respiratory Clearance Form that will be sent through the school. The school will have access to the survey responses to approve or deny the faculty’s access to rooms that require the use of a CAPR. Faculty will be informed by their school if they are approved/not approved.

    Step 4

    Faculty will contact TASC (Talent Acquisition Service Center) at 206-987-1020 to set up a time to obtain a faculty badge and receive their transportation assignment.

    Step 5

    All School of Nursing (SON) faculty are required to complete certain competencies and online trainings annually. Clinical rotation faculty are also required to complete a four-hour shadow on each of the units they will be teaching. These requirements must be completed no less than two weeks prior to bringing students on Seattle Children’s campus.

    Complete the items on the Faculty Orientation Checklist and return to Seattle Children's Schools of Nursing no less than two weeks prior to the first day on campus.

    Faculty will also complete the Student Orientation checklist to verify students have completed their onboarding. This form is due on or before the first hour students are on campus and on units with patients.

Graduate Student and RN to BSN Student Request Form

At this time we are only accepting graduate students and RN to BSN students currently working at Seattle Children's. We apologize for the inconvenience.

For Advanced Practice Provider (APP) clinical rotation requests, please visit the APP clinical rotation page, and complete the request form listed on step 4. For any non-clinical capstone work and leadership rotations, please complete the Non-Clinical Placement Request form below.

Students interested in completing a non-clinical project at Seattle Children's must:

  1. Consult the Washington State Nursing Commission website to confirm that your university is approved to place students in Washington state. If your university/program is not listed, you cannot be placed in a clinical rotation at Seattle Children’s.
  2. Verify with your placement coordinator or program director that your school that your school has a current academic affiliation agreement with Seattle Children’s Hospital.
  3. For graduate students, have an active Washington state RN license.
  4. Complete the Non-Clinical Placement Request form.
  5. Email your resume to [email protected]. No cover letter is needed.
